1. Definitions
- “Client” means the person or entity ordering services.
- “Services” means German transcription from audio/video and/or QA review of an existing transcript.
- “Deliverables” means transcripts or QA-corrected files delivered in the agreed format.
- “Project Files” means audio/video, existing transcripts, templates, glossaries, and instructions provided by the Client.
2. Scope of services
We provide professional German transcription and QA review services as described on our Services and Pricing pages.
- Transcription: converting German audio/video into text according to the agreed style (clean/verbatim, timestamps, speaker labels where requested).
- QA review: validating and correcting an existing transcript against the original audio/video, with tiered depth based on the selected package.
Important: Pricing and turnaround depend on audio quality, number of speakers, specialization (legal/medical/technical), and formatting requirements.
3. Ordering and acceptance
- An order is placed when you submit files and requirements via the upload portal or by email and we confirm scope.
- We may ask for clarification (style, timestamps, spelling of names, terminology) before starting.
- We may decline projects we cannot complete to an acceptable standard (e.g., severely unusable audio), or propose a revised scope.
4. Client responsibilities
- Ensure you have the right to share Project Files with us and to request transcription/QA for them.
- Provide complete instructions (language variant, formatting, timestamp rules, speaker map if available).
- Review deliverables promptly and notify us of issues within the revision window (see Section 8).
5. Delivery and turnaround
- Turnaround times are estimates unless explicitly agreed in writing.
- Delays may occur if files are incomplete, corrupted, or requirements change after work begins.
- We deliver in agreed formats (e.g., DOCX/TXT; subtitle formats if agreed).
6. Confidentiality
We treat Client project content as confidential and restrict access to assigned personnel on a need-to-know basis.
If you require an NDA, request it before submitting sensitive materials or state it at the time of inquiry.
7. Data handling and retention
Data handling is described in our Privacy Policy.
- Project files: retained up to 30 days after project completion, then deleted unless otherwise agreed or legally required.
- Earlier deletion: available on request (subject to operational constraints and ongoing support needs).
8. Revisions and quality
QA review note: QA services improve and validate your existing transcript against audio/video; they do not replace transcription when the base document is fundamentally missing content or audio is unavailable.
- We will correct objective errors that deviate from agreed specifications (e.g., missing text clearly present in audio, formatting not matching agreed template).
- Revision requests should be made within 7 calendar days of delivery, unless otherwise agreed.
- Requests that change scope (e.g., adding timestamps after delivery, changing from clean to verbatim) may be billed as additional work.
9. Pricing, payments, and taxes
Rates are shown on the Pricing page and may vary by complexity, audio quality, specialization, and turnaround.
- Unless otherwise agreed, payment terms may include deposits for new clients or large projects.
- For ongoing partners, monthly invoicing may be available by agreement.
- Client is responsible for any bank fees, currency conversion fees, or applicable taxes unless stated otherwise.
10. Cancellations and refunds
- If you cancel before work starts, no service fee is charged (excluding non-refundable processor fees if applicable).
- If you cancel after work has started, you may be billed for work completed to date.
- Refunds are not provided for completed work that matches agreed specifications, but we will work with you to resolve legitimate quality issues.
11. Intellectual property
- You retain ownership of your source materials.
- Upon full payment, you receive rights to use the deliverables for your intended purposes.
- We may use anonymous, non-identifying performance statistics (e.g., general volumes) unless you request otherwise.
12. Prohibited use
- Do not submit illegal content or materials you do not have rights to provide.
- Do not attempt to compromise the website or upload malicious files.
13. Disclaimers
- We are not a law firm or medical provider; our services do not constitute legal or medical advice.
- Transcripts may contain inaccuracies if audio is unclear, overlapping, or incomplete; we follow agreed tiers/specs to mitigate this.
14. Limitation of liability
To the maximum extent permitted by law, Transcrecia is not liable for indirect or consequential damages (e.g., loss of profit, business interruption).
Where liability cannot be excluded, our total liability is limited to the amount paid for the specific service giving rise to the claim.
15. Governing law and disputes
These terms are governed by applicable law based on the contracting entity and the nature of the engagement.
We encourage resolving disputes first by contacting us to seek a practical solution.
16. Changes to these terms
We may update these terms from time to time. The latest version will be posted on this page with an updated effective date.
