- Client means the person or entity ordering services.
- Services means German transcription from audio or video and/or QA review of an existing transcript.
- Deliverables means transcripts or QA-corrected files delivered in the agreed format.
- Project Files means audio, video, transcripts, templates, glossaries, and instructions provided by the client.
2. Scope of services
We provide professional German transcription and QA review services as described on our service and pricing pages.
- Transcription: converting German audio or video into text according to the agreed style, such as clean or verbatim output, timestamps, and speaker labels where requested.
- QA review: validating and correcting an existing transcript against the original audio or video, with scope depending on the selected service level.
Important: Pricing and turnaround depend on audio quality, speaker complexity, subject matter, and formatting requirements.
3. Ordering and acceptance
- An order is placed when files and requirements are submitted by email or another agreed method and the scope is confirmed.
- We may request clarification before work begins.
- We may decline projects that cannot be completed to an acceptable standard or propose a revised scope.
4. Client responsibilities
- You must have the right to share the provided project files and request the service.
- You should provide complete instructions, including formatting preferences, timestamps, and terminology where relevant.
- You should review deliverables promptly and report objective issues within the revision window.
5. Delivery and turnaround
- Turnaround times are estimates unless expressly agreed in writing.
- Delays may occur if files are incomplete, corrupted, unclear, or if scope changes after work starts.
- Deliverables are provided in the agreed format, such as DOCX, TXT, SRT, or VTT where applicable.
6. Confidentiality
Client project content is treated as confidential and access is restricted to those involved in delivery on a need-to-know basis.
If you require an NDA, please request it before submitting sensitive materials.
7. Data handling and retention
Data handling is described in our Privacy Policy.
- Project files: generally retained up to 30 days after project completion unless otherwise agreed or legally required.
- Earlier deletion: available on request, subject to operational feasibility.
8. Revisions and quality
QA review note: QA review improves and validates an existing transcript against source audio or video, but it does not replace full transcription where the base document is incomplete or unsuitable.
- Objective errors that deviate from agreed specifications may be corrected.
- Revision requests should normally be made within 7 calendar days of delivery unless otherwise agreed.
- Requests that change the original scope may be billed as additional work.
9. Pricing, payments, and taxes
Rates may vary according to complexity, audio quality, specialization, and turnaround requirements.
- Deposits may be required for new clients or larger projects.
- For ongoing partners, recurring invoicing may be available by agreement.
- The client is responsible for applicable fees, taxes, or conversion costs unless otherwise agreed.
10. Cancellations and refunds
- If a project is cancelled before work starts, no service fee is charged other than non-refundable processor fees where applicable.
- If cancellation occurs after work starts, completed work may be billed proportionally.
- Refunds are not provided for completed work that matches agreed specifications, but legitimate quality issues can be reviewed.
11. Intellectual property
- You retain ownership of your source materials.
- Upon full payment, you receive rights to use the deliverables for their intended purpose.
- Anonymous, non-identifying performance statistics may be used unless otherwise agreed.
12. Prohibited use
- You may not submit illegal content or materials you do not have the right to provide.
- You may not attempt to compromise the website or transmit malicious files.
13. Disclaimers
- Transcrecia does not provide legal or medical advice.
- Transcript accuracy may be affected by unclear, overlapping, or incomplete audio despite reasonable effort and agreed workflow.
14. Limitation of liability
To the maximum extent permitted by law, Transcrecia is not liable for indirect or consequential damages.
Where liability cannot be excluded, total liability is limited to the amount paid for the service directly related to the claim.
15. Governing law and disputes
These terms are governed by the applicable law relevant to the contracting relationship and service context.
We encourage disputes to be addressed first through direct contact and practical resolution.
16. Changes to these terms
These terms may be updated from time to time. The latest version will be posted on this page.
